Just a quick note to remind you about the process of booking staff travel.
If staff members are travelling for RMIT business related purposes, it is the responsibility of the traveller to book their own flight and accommodation arrangements via Trobexis – the RMIT travel portal.
To summarise the booking process:
- Obtain a quote from RMIT’s approved travel providers (rmit@ctconnections.com.au or rmit@voyagertravel.com.au).
- Once your quote has been obtained, create a travel requisition in the travel portal (Trobexis), ensuring you attach the quote and any other supporting documentation. The travel portal will allow you to fill in associated costs for your trip – you will need to enter the correct Internal Order (IO) number for each costed item (flights, accommodation, transportation, etc).
- Submit your requisition for approval – Trobexis will automatically guide you through this process as part of your submission.
- When your line manager approves your requisition, you will receive a notification via admin@trobexis.com notifying you to proceed with your travel booking. Once you have received this email, forward it on to your chosen travel provider.
- Your travel provider will then book your travel and send you your itinerary.
Note: In order for you to be covered by RMIT travel insurance, you must use the Trobexis portal when arranging travel – corporate cards should not be used.
